What we collect, and when we delete it

We collect your name, email and USU ID for one reason: to apply to the USU to create the society. We send you exactly one email when it launches. Then we delete the lot.

• NameRequired. The USU application asks for signatures, which need names.
• Email addressRequired. The only way we can tell you the society exists.
• USU IDOptional, and only if you tell us you’re a USU member. The USU counts signatures from its own members, so this is what makes yours count.
• What you want to makeOptional, free text. Helps us understand who’s interested. Please don’t put anything sensitive in it. We don’t want or need health information, and we’ll delete anything like that if it arrives.
• Whether you'd help run itOptional. A yes/no and, if yes, what you’d want to help with.

We also store the date you signed up and a note of which version of this wording you agreed to, so we have a record of what you consented to.

We do not collect your student ID (SID), your date of birth, your address, your phone number, or any payment details. There is no tracking pixel, no advertising network and no third-party analytics beyond aggregate page counts from our host, which are not tied to your identity.

Only to apply to the University of Sydney Union to create SUPsoc. The USU requires evidence that a real group of its members wants the society to exist. Your name and USU ID form part of that evidence; your email is how we tell you the outcome.

We do not use it for anything else. Not marketing, not sponsors, not recruitment, not research.

All data collected through this form will be deleted from our database once the society launches. The waitlist is temporary infrastructure for the application, not a membership list. Once SUPsoc is a registered club, membership is handled through the USU’s own system, and there is no reason for us to keep a second copy.

If the application is unsuccessful, we delete everything within 30 days of finding out.

Only the founding executive of SUPsoc. Nobody else has access, and we will never sell, rent, publish or otherwise pass your details to a third party, including sponsors and other societies.

Names and USU IDs of people who signed up will be provided to the USU as part of the application, because that is what the application is for. Email addresses and free-text answers are not.

In a Supabase database hosted in Sydney, Australia. The connection is encrypted, and the site’s public key can add a row but cannot read any back, so nobody can pull the list out of the website. Reading it requires a separate private credential held by the founding executive.

If SUPsoc later runs a mailing list for events, that will be a fresh sign-up you choose separately. Joining this waitlist does not put you on it.

Ask, and we’ll delete your entry and confirm, normally within a few days. You don’t need to give a reason, and you can also ask for a copy of what we hold about you.
